Let’s face it – e-commerce is here to stay and is an important part of any business.  Today there are many services out there that can help you build and maintain an online store front without the need of expensive coding or customization.  One of the most popular services is called Magento and they offer a product that can fit your every need.

Alongside their product comes many back office features that help you track your revenue, inventory, and more.  But with WebMerge we can help you take things a bit further and automatically create invoices, receipts, special offers, and more.   In this example we’re going to show you how you can send a customized invoice to customers when they submit an order.

Our first step is going to be setting up our invoice document (template) in WebMerge.  We’ll add our merge tags to the document so the information ends up in the right place inside the document.  You can name these merge tags anything you’d like – we’ll handle the field matching later.  Here’s what our invoice looks like:
 


After we have our document setup, we need to setup the email delivery so that our customer receives the invoice via email.  By default we have already setup an email delivery so go ahead and edit that delivery and change the “To” field to be the email merge field.
 


That is the last step inside WebMerge.  Our next step is going to be setting up the integration between Magento and WebMerge.  To do this we’re going to use a service called Zapier.  Inside Zapier go ahead and create a new Zap and select Magento > New Invoice as the trigger and WebMerge > New Document Merge as the action.
 


Follow the steps as Zapier walks you through the setup process.  When you get to the section that has you pick a WebMerge document, go ahead and pick the document you just created.  This will load a list of the merge fields that are in your document so you can “match” them with the corresponding Magento data fields.
 


Once you finishing mapping all of the fields, continue on to the Test section in Zapier.  Go ahead and submit a test and you should receive the invoice.  That’s it!  Once you save the Zap it will automatically send new orders over to WebMerge and we’ll generate the invoice and email it out.
