Attach or Combine Remote/Uploaded Files

Are you Looking for a way to attach uploaded files (pictures, documents, etc) or combine an uploaded PDF with your merged document?  Using Data Routing, you can automatically send remote and uploaded files alongside your merged documents.

The setup process is very simple.  For this example we’re going to show you how to include an uploaded PDF file with our Merged PDF.  Let’s jump into the settings page of our Data Route.  On this page, we’ve got our PDF that will be merged selected for Rule #1. 

For Rule #2 we’re going to use the uploaded PDF from our online form.  From the Document dropdown, go to the very bottom and you’ll see <<other remote file>>.  Go ahead and select that option.  Next we’re going to type in a merge field for the URL or you can enter a static URL (that's the same URL every time).

After that, we need to jump over to the Delivery tab and add a Delivery option so that we receive all of the files.  This will include them all as attachments or send them over to your cloud storage as well.

That’s it!  Now all you need to do is map the uploaded file to the field you created in the Data Route settings and we’ll automatically download the file from the URL (most online forms will send a URL for the uploaded file) and include it in the merge.  Some example files you can use are PDFs, Word documents, Pictures, Excel, Powerpoint, and many more.

    Hi Jeremy,
    In the workflow I'm creating I want to dynamically attach a remote pdf (A) to accompany the merged pdf (B). Do I have to have the remote pdf (A) uploaded somewhere already for this to work in Data Route?

    Hi Jeff,

    Yes, you would need to upload the file somewhere that WebMerge can download via public URL (like your website, Amazon S3, Dropbox, etc).

    Hi Jeff,

    You just enter the URL in the box in the data route rule. Just like the screenshot shows above, but instead of a merge field, you're going to enter the URL (without any brackets). I've updated your account so you can see.

    I am using FormAssembly to create an intake form for my office and would like to have it so WebMerge combines the actual image users attach to the form printed in the merged version of it instead of a URL to the uploaded image. Is this possible with your service?

    Hello! Yes, you can. You'll need to embed them in your document/template though. Search for "image" in the Building Your Documents (https://webmerge.zendesk.com/hc/en-us/sections/201531306-Building-Your-Documents) article and pick the one that is appropriate for your document type.

    Hi Jeremy,
    I am having trouble getting my data route to merge PDF files stored on dropbox into a larger PDF. It seems that the rule assigned for the data route can't get the file from dropbox through the public dropbox link. I have tried using the dropbox link with both the ?dl=0 and ?dl=1 options. Neither seem to work for me. Does it work for you? Any suggestions how I can merge files from dropbox?

    1. Can the URL be constructed dynamically from data in the merge?

    For example, if I had a field (variable) call LOT and PLOT with values 100 and 102 and my files have a set name in Amazon like LOT100PLOT102.pdf can I create a link along the lines of http://s3.amazon/123445/LOT{LOT}PLOT{PLOT}.pdf

    2. Can the document be inserted at a particular location in the document?

    Hi Stephen,

    1. Yes, you can use merge fields in your URL and we'll convert the merge fields to the dynamic data.

    2. Unfortunately, there isn't a way to insert an attachment in the middle of a document, but you could split your template into 2 templates, then use 3 rules in your data route to combine all 3 parts (part1, attachment, part2) into a single doc.

    Hi Steve,

    We're not able to download files from Salesforce, but you could save the cover page in Dropbox, then save the download URL to the file in Salesforce and we can download that file.

    Is there a rule to attach a single document to a batch? So if I'm creating a combined pdf from multiple objects in salesforce, can I attach a single cover letter to that pdf?

    I noticed that while uploading a document directly to WebMerge, the merge tags in the file were automatically populated. It would be nice if WebMerge could automatically resolve merge tags within remote documents in the same way.

    Is there a way to get Ninja Forms to send data to webmerge Data Route? I can only find Documents, but sending the data to Data Route would solve many (if not all) of my issues.

    Ninja Forms is currently working on updating their WebMerge plugin to support Data Routes. Please reach out to their support team for a status update.

    In the meantime, you could use their Webhook add-on to send data over to your Data Route.

    Hi Jeremy,

    We are trying to create one document from 3 separate sets of documents.
    1. Merged document from Webmerge
    2. PDF file from dropbox
    3. Word document from dropbox

    I see that we can use data routing to accomplish this but however, I don't see an option for PDF or .docx in the dropdown. Instead I see an option for <>. Do I just give a link to the document from dropbox?

    Also, I'd like to attach documents in steps 2 and 3 above to multiple documents that are generated in step 1 above as a result of webmerge.

    Please advise.

    Yes, just enter the URL to the dropbox file in the box instead of a merge field, then click the include in combined PDF checkbox :)

    Hello Jeremy,

    I would like to attach unique PDF documents to the end of completed webmerge batch of documents Each Webmerge document has a unique name that begins with 4 letters and the documents I want to attach are named with a unique 4 letter name. Is there a workflow that can match up the named documents from a Dropbox folder? I would need the PDFs to be attached (not a URL).

    Hi Annette,

    Unfortunately, Dropbox doesn't provide consistent URLs to the files so there isn't a way to automatically build a download URL based on the name of the file. However, Amazon S3 uses consistent URLs so you could upload the files there instead.
