Campaign Monitor

Email marketing with a tool like Campaign Monitor can be a very cost-effective way to communicate with your prospects and customers.  With the ability to set up various campaigns and automations, you can streamline the entire process.  But in today’s world, email can be lost in the shuffle.

With a tool like Formstack Documents, you can automatically generate welcome letters, coupons, promo pieces, and more.  Combined with the on-demand print and mail service, Lob, you can really impact your customers with real mail.

In this example, we’re going to show you how to automatically send welcome letters to new subscribers that are added to Campaign Monitor.  To help with the integration, we’ll also be using our friends over at Zapier.

To get started, we’re going to set up our letter template using a Word document.  Inside our Word document, we’re going to add our company logo, contact information, and the content of our letter.  For the spots that we want our subscriber’s information to go, we’re going to enter merge fields that look like {$FirstName}, {$LastName}, etc.

Here’s what our letter template looks like:

Once we have our template finished, we’re going to upload it to Formstack Documents.  From the Documents page in Formstack Documents, click the New Document button and enter a name for the document.  On the next step, pick Office Document as the document type and then pick the file from your computer.

After you upload your document, you’ll be taken to the Settings tab where you can modify various options like the name of the file and the type of file that you want to generate.  For this example, we’re going to generate a PDF and we’re going to include the name of our subscriber in the file name.

Next, we’re going to set up the delivery of our document so that it is automatically sent over to Lob for print and mailing.  From the Deliver tab, click the New Document button and choose Lob from the list.  After you enter your Lob API Key, you’ll need to pick the merge fields for the To address.  If you don’t have merge fields in your document, choose <<Other>> then type in new merge fields like {$Address}, {$City}, etc.

After we have the Lob delivery setup, we’re ready to set up the integration with Campaign Monitor using Zapier.

Inside Zapier, click the New Zap button.  For the Trigger, we’re going to choose Campaign Monitor as the service and then New Subscriber as the trigger.

After you authenticate your Campaign Monitor account, Zapier is going to have you pick the list that you want to monitor for a new lead.  Go ahead and pick the list you want to monitor.

Once you pick a list, Zapier is going to load a test subscriber to make sure everything is working correctly.  Follow those steps and move on.

Next, we’re going to set up the Action of our Zap.  For the service, we’re going to choose Formstack Documents as the service and then Create Document Merge as the action.

Once you authenticate your Formstack Documents account, Zapier is going to load a list of all the documents in your Formstack Documents account.  Go ahead and select the letter template that you just setup.  Once you pick the document, Zapier going to load a list of all the merge fields in your document.

For each of the merge fields in your document, you need to pick the corresponding fields from Campaign Monitor.  This tells Zapier how to send data to Formstack Documents so that it is populated in the correct spot on your template.

After you’ve matched up all of your merge fields, go ahead and save your Zap then turn it on.  We’re ready for a test!  Login to Campaign Monitor and add a new Subscriber.  Zapier will detect the new subscriber and send the data over to Formstack Documents where your letter will be generated and sent to Lob.

Congrats, you’re all finished!  You can now automatically generate all types of documents from your Campaign Monitor account.  Can you think of any other ways that you could use Formstack Documents to simplify your paperwork process?
